Location (City, State, Country):
Salt Lake City, Utah, USA
Term:
Summer 2012
Specialization(s):
Preservation of Information, Archives & Records Management
Description of work:

The internship had one main objective: to help the Marriott Library implement and test the recently purchased Ex Libris Rosetta digital preservation software (see embed below).  In addition, the position assisted in activities surrounding the moving, inventory, and organization of archival files, particularly in relation to the library's master files of the Utah Digital Newspaper (UDN) project (see link below). The work took place between May 16 and August 31 of 2012.

Learning Objectives/Goals:

1) Familiarize myself with the contents of the library’s digital collections and assist in preparing for the library’s upcoming implementation of the Ex Libris Rosetta digital preservation system; in preparation, conduct a full inventory of the library’s digital archives, to include the file counts, formats, and sizes, and place that information in an-easy-to-read spreadsheet.

2) Gain experience with digital preservation software tools used by the library and assist in preparing for the library’s upcoming implementation of the Ex Libris Rosetta digital preservation system; perform checksums for a portion of the library’s digital archives before ingest into Rosetta.

3) Organize the UDN digital collection in accordance with archival/preservation standards and assist in the development of the project by creating a database of files from which to run reports in order to gain intellectual control over the collection.

4) Learn the Ex Libris Rosetta digital preservation system through training, ingest of the library’s digital archives, and practice managing content within it.

5) Learn the overall workflow and various department responsibilities within the Library by conducting informational interviews with key figures and department heads throughout the course of the internship.

Impact/Outcomes of Internship:

I contributed to the Library's efforts to prepare for the Ex Libris Rosetta digital preservation system.  I assisted in the department's efforts to gain intellectual control over a significant digital collection (Utah Digital Newspapers project) in its digital archive.  I participated in the training and initial implementation of Ex Libris Rosetta digital preservation program at the Library.  I helped establish departmental policies and workflows for material to be ingested into the Rosetta program.  By way of informational interviews, I networked with influential individuals, in and outside of the Library, who are active in digital archiving, preservation, and initiatives within the State.

"The Utah Digital Newspapers (UDN) program has been operating at the University of Utah's J. Willard Marriott Library since 2002. UDN is recognized as one of the leaders in newspaper digitization in the United States, especially within the public sector. Our collection holds over 1,000,000 pages of historic Utah newspapers and it grows monthly. Its newspapers can be browsed by issue or searched by keywords, article titles, weddings, deaths, and births. UDN is built upon a distributed state-wide collection of newspapers that is aggregated into a single, searchable index hosted at the U of U. We partner with Brigham Young University, Utah State University, and Salt Lake Community College to accomplish this, each hosting a portion of the content. This collaboration was, we believe, the first aggregation of newspaper metadata and remains the foundation of our distributed and aggregated statewide collection."
